What is an Apostille or Authentication?
Apostille (pronounced “ah-po-steel”) is a French word meaning certification. An Apostille or Authentication is simply the name for a specialized certification issued by the Secretary of State. An Apostille is affixed to your original document to verify an official’s signature is authentic so it can be accepted for use in Countries that are party to the Hague Convention.
An apostille is a form attached to a US document that verifies the authenticity of the seals and signatures. It is commonly used when submitting documents to other countries.
Apostilling documents can be a complex process. In most cases, you must obtain an original or certified copy of the document you are required to apostille. Once received, the document will have to be submitted to the issuing office of authentications, such as the Secretary of State, the US Department of State in Washington, DC, or the embassy or consulate.
The biggest challenge in the apostille authentication process is the unique requirements of each document one must meet before the paperwork is valid for apostille. This is why Rai’s Apostille offers a commitment-free document review service that will ensure your documents meet all the requirements necessary for apostille or embassy legalization.
Our comprehensive document apostille services allow us to prepare, file, and obtain the apostille for every state on your behalf in the most convenient and professional manner. We can sometimes provide same-day apostille service for personal and business documents. However, please keep in mind that federal documents from the US Department of State take more time.
What Are the Benefits of Using an Apostille?
As global interactions increase in both personal and professional realms, understanding the benefits of using an apostille becomes crucial for individuals and businesses alike. Here are the key benefits of utilizing an apostille for document authentication:
Streamlined International AcceptanceWhen a document is apostilled, it eliminates the need for further verification by foreign authorities, making it more straightforward for individuals to utilize their documents in other countries. This is particularly beneficial in situations such as applying for jobs, pursuing education, or engaging in legal matters abroad, where quick access to verified documents is essential.
Increased CredibilityDocuments that bear an apostille carry a level of trust and credibility that can significantly impact their acceptance. An apostille assures foreign authorities that the document is legitimate and has been verified by a recognized government entity. This added layer of authenticity reduces the likelihood of disputes over the validity of the documents.
Simplified Bureaucratic ProcessesThe bureaucratic process can be complex, especially when dealing with multiple legal systems. An apostille simplifies this process by providing a standardized method of verification recognized by all member countries. This means that individuals and businesses can bypass the often cumbersome steps involved in getting documents verified in each country, saving time and effort.
Facilitation of Personal and Professional TransactionsFor expatriates, students studying abroad, and businesses operating internationally, the apostille plays a vital role in facilitating transactions. Whether it’s for marriage certificates, academic records, or business contracts, an apostille enables smoother interactions by ensuring that documents are readily accepted by foreign authorities.

How do I get an Apostille with your company?
As an approved licensed and approved vendor of the California Secretary of State, we can make the process of obtaining an Apostille or Authentication very simple for you. We have three potential options for you to get your documents to us for processing, and they are as follows:
- Depending on the document in question, you may first need to get a Notarization done. If this is the case, you can schedule one of our commissioned and insured mobile Notary’s to come to you and Notarize the signature on the document. After this is completed we take the document back with us for processing of the California/Federal Apostille.
- The second option would be to use our free mail-in service. This means that if your document has already been Notarized or if it’s a vital record (not needing an additional certification), you can call or email us with your completed order form and request a Fedex label. Upon receiving your inquiry, we’ll email you a prepaid overnight Fedex label (free of charge) for you to send your documents to our team for processing.
- If you are out of the State/Country and need an Apostille on a document that has not been Notarized or does not contain a public official’s signature…you can reach out and we’ll email you a free prepaid Fedex label to send your document to us. A member of our team will then perform what’s called a “Copy Attestation” and then we Notarize their signature accordingly. Essentially, this is a sworn statement that allows someone (anyone) to swear to the authenticity of a document copy which we then affix to your document. After this is complete we then process the Apostille or Authentication as usual and send it back to you as one complete document.
